Perfect Festivals – Curators of A Perfect Day Festival

1. Introduction

Perfect Festivals are an unincorporated community association formed to organise events for people with additional needs across Lincolnshire UK. The largest of these events is A Perfect Day Festival – a creative, inclusive public event welcoming children, young people, adults at risk, carers, and families. We do not provide care services, but are committed to ensuring everyone attends our events in a respectful, safe environment.


2. Purpose

• Protect children, young people, and adults at risk at our events.

• Clarify responsibilities for staff, volunteers, artists, and committee members.

• Outline how concerns are reported, managed internally, and escalated to statutory bodies.


3. Scope

Applies to everyone involved in an event: staff, volunteers, artists, contractors, and committee members.


4. Our Commitments

We will:

• Treat everyone with dignity, fairness, and respect.

• Listen and respond to concerns with a person-centred approach—asking adults at risk what they want, aiding informed consent.

• Appoint a Safeguarding Lead and Deputy to oversee welfare.

• Implement internal reporting via Safeguarding Concern Forms and Accident/Incident

Forms, and escalate serious issues to local safeguarding teams in Grimsby, Scunthorpe, or Lincoln.

• Plan a welfare/safeguarding briefing before each event, detailing roles, escalation pathways, lost/missing-child procedures, meeting points, and venue liaison.

• Follow safer recruitment: require DBS checks for staff/volunteers lone working or supervising vulnerable attendees.

• Use our Photo Consent System: guests who don’t consent wear smiley-lanyards; avoid sharing their images.

• Ensure GDPR compliance: restricted access to forms, secure retention for 10 years, and disposal guidelines under the Data Protection Act.

• Maintain accessible, safe event spaces, and clear safeguarding expectations.

• Provide whistleblowing mechanisms internally, with anonymous referrals to NSPCC (0800 028 0285)


5. Reporting a Concern

1. Ensure safety—Call 999 if someone’s in immediate danger.

2. Inform the Safeguarding Lead/Deputy or Assigned Event Report Personnel.

3. Complete the appropriate form:

◦ Safeguarding Concern Form (for welfare or abuse concerns)

◦ A Perfect Day Accident First Aid Report Form

◦ Escalate based on location:

5. Whistleblowing staff concerns: Follow internal procedure; if unresolved, contact NSPCC

6. Follow up: Safeguarding Lead coordinates with authorities, parents/carers, and venue.

7. Record-keeping: Store securely, limit access, retain records for 10 years (GDPRcompliant).


6. Event-Specific Welfare Briefing

Before each event, all staff, artists, and volunteers receive:

• A welfare & safeguarding briefing introducing Safeguarding Lead/Deputy, escalation chain, lost/missing procedures, and venue liaison.

• Designated meeting points and guidance on responding to missing attendees.

• Instructions on photo consent procedures and smiling-lanyard distribution.

This ensures all participants understand their welfare roles.


7. Code of Conduct

All personnel must:

• Prioritise safety and dignity of attendees.

• Avoid being alone with vulnerable individuals.

• Never engage in inappropriate behaviour.

• Report all concerns promptly.

• Wear any and all provided ID/ Hi-vis / Banded T-shirt and follow site rules.

• Support an inclusive, respectful atmosphere.


8. Recruitment, Training & Supervision

• Safer recruitment for regulated roles and outside providers:, DBS checks, PLI, risk assessments specific to high risk activities.

• Induction covers safeguarding basics, photo consent, procedures, and GDPR requirements.

• Debriefs and supervision after events ensure learning, wellbeing, and continuous improvement.


9. Data Protection & GDPR

• Personal and safeguarding records stored securely; access limited to Lead, Deputy, and relevant authorities.

• Records retained for 10 years, then securely destroyed.

• GDPR principles apply throughout, especially regarding consent and data minimisation.


10. Photo Consent

Upon arrival, guests are informed about event photography. Non-consenting individuals receive a smiley-face lanyard—ensuring their image is not used in any materials. Photographers and marketing staff must comply.


11. Person-Centred Approach for Adults at Risk

We commit to:

• Listening to adults at risk and asking what outcomes they wish.

• Involving them in next steps, and sharing information with consent. This reflects “Making Safeguarding Personal” principles.


12. Review & Governance

• Reviewed annually or after serious incidents.

• Last reviewed: June 2025

• Next review due: June 2026
